Running a small business is like being a master juggler.
You have all of your tasks in the air, from managing finances to serving customers, and it can be challenging to keep everything from crashing down. That's where effective time management comes in. Let’s check out some practical time management techniques and tools to help you maintain your sanity and productivity while juggling multiple responsibilities as a small business owner!
PRIORITIZE YOUR TASKS
Before you even begin juggling tasks, knowing which ones are most critical is essential. Use techniques like the Eisenhower Matrix to prioritize tasks into four categories: urgent and important, important but not urgent, urgent but not important, and neither urgent nor important. Focus your energy on the first two categories.
MANAGE YOUR TASK LIST BY TIME
Another idea is after you write down your task list, note on the right-hand side of the paper how long that task will take. This method was my saving grace when my kiddos were babies, and I was trying to work in the in-between times. When you have 5-10 minutes, you can look for a task that you can fit in!
TIME BLOCK
Time blocking involves allocating specific blocks of time to particular tasks or categories of tasks. By dedicating, say, 9-11 a.m. to client meetings, 1-3 p.m. to focused work, and 3-4 p.m. to email, you're less likely to get sidetracked. Use time-tracking tools like Toggl or Clockify to help you monitor where your time is going. This insight can highlight areas where you spend too much time or not enough.
SET SMART GOALS
SMART goals are specific, measurable, achievable, relevant, and time-bound. Define clear, specific goals for your day, week, and month. Knowing what you're working toward can improve your focus and motivation.
DELEGATE OR OUTSOURCE
As a business owner, you don't need to handle everything yourself. Delegate tasks that others can do as effectively or even better than you. Consider outsourcing tasks like bookkeeping, social media management, or customer support to experts in those areas.
USE TASK MANAGEMENT TOOLS
Task management tools like Trello, Asana, or ClickUp can help you organize and track your tasks. They provide visibility into what needs to be done and when reducing the risk of missing deadlines. Explore automation tools to handle routine and repetitive tasks. Email marketing automation, social media scheduling, and invoice reminders are just a few examples.
PLAN YOUR DAY AHEAD
Spend a few minutes at the end of each day planning the next. Personally, I love spending an hour on Sunday nights reviewing my week and mapping out my plan. Having a clear plan when you start each workday can save precious morning time and also help you keep YOUR priorities in front instead of just opening your inbox and managing everyone else’s priorities.
BATCH WORK
Group similar tasks together and tackle them in one go. For instance, you can answer all your emails at once, make client calls together, or handle administrative work in a single session. Multitasking might seem like a time-saver, but it often reduces productivity. Focus on one task at a time to do it well. This helps your brain not work too hard, which can relieve your stress and feelings of overwhelm AND help you be more productive.
MINIMIZE DISTRACTIONS
Identify your main sources of distraction and find ways to minimize them. This could mean silencing notifications, setting designated "quiet hours," or creating a distraction-free workspace. It takes your brain about 10-20 minutes to regain focus every time you get interrupted, so manage those distractions to save your brain and your productivity!
SET BOUNDARIES
Being strategic with your time means being comfortable saying no to commitments or tasks that don't align with your goals or priorities. Also, prioritize self-care and maintain a healthy work-life harmony. Adequate sleep, regular exercise, and time for relaxation are essential for maintaining your energy and focus. Regular short breaks can actually boost productivity. Use techniques like the Pomodoro Technique (work for 25 minutes, then take a 5-minute break) to stay fresh and focused.
REVIEW + REFLECT
At the end of each week, reflect on what you've accomplished and what could be improved. Use this feedback to refine your time management strategies continually.
